Why Invoice and estimate notifications are so important?

Every SaaS Invoicing Software offers notifications, but not all notifications are made equal. So keep reading and find out exactly which invoice and estimate notifications you need to stay on top of your business, estimates, and most importantly - collecting payments.

We’re not talking about simple push notifications; everyone does that.

Remember: We know how important the first impression is and how the details make a big difference. Invoice notifications are a fast, easy, and straightforward way to communicate with clients and business partners. It gives you so much information on what’s happening on the customer side, leading to increased estimate approvals, problem resolution, and faster payment collection.

With the sending of invoices and relevant messages, you will quickly see the benefits that your business can have from these notifications - once you are versed in every important detail - in real-time!

Our newly updated notifications are now available to free and pro accounts. They will inform you of important business events which there is no other way to find out.

Currently, there are four core notification categories. Depending on how important the event is, you will receive the following types of notifications:

11 Important Invoice notifications

Email delivered
Just because the invoice was sent doesn’t mean it’s delivered. There could be many reasons why. This notification will tell you that the invoice was delivered successfully. If you don’t receive this notification, you’ll receive a different failed notification so you can take action right away and confirm that your invoice is now in the right hands and waiting to get paid.


Email marked as spam
Sometimes, good email get’s trapped, which requires actual human intervention. This spam notification will let you know that your customer never got the invoice. Make sure to reach out to your customer and ask them to add your email to their safe sender list. This will save you time waiting for customer response and speed up the payment process.


Email bounced
Misspellings and bounces happen, but when it comes to invoicing, they can slow down the payment process leaving you in a jam - especially if you don’t know it’s happening. This notification will alert your right away if the invoice you emailed bounced, and it will tell you exactly why -  so that you can reach out to your customer and update the email on file.


Charge failed
To ensure timely payments, getting notified when a customer’s charge fails for any reason is crucial - this way, you can immediately reach out to your customer and ask them to update their payment method so you can get paid.


Past due invoice
Since every invoice has a due date, if that date passes and your invoice is not paid - getting notified helps you stay on track. This notification will tell you which customers and invoices are past due. Moreover, the system will send a reminder to the customer to help move things along.


Email opened
A standard notification, and not all users will want to receive it all the time. We suggest just having the system notification on this one; otherwise, you’ll get many email notifications. Of course, you can always go into the invoicing activity and check if the invoices emails have been opened or not.


Email link clicked
Knowing that the link in the invoice email is clicked means that you are just one step away from the final payment. Convenient, isn't it? However, consider having this an in-app notification just like the email opened, so you don’t get hundreds of emails.


Viewed invoices
Just like email opened and email link clicked, this is mostly useful if you’re trying to collect from a customer who says they have not received your invoice. This will verify that they’ve not only received it but also clicked to view it.


Downloaded invoices
When your client downloads an invoice, you can receive a notification—another helpful option. But again, it’s not necessary to get an email on this one because it’s not an actionable notification.


Payment applied
This notification is a real endorphin booster! Who wouldn’t like to receive a notification every time payment arrives?


Sent invoices
This notification is helpful if you're not sure if you've sent an invoice, whether it's because you multitasked or just accidentally left your browser tab. This will send you a notification when you send an invoice. We suggest having email notifications on this one turned on only on the recurring invoice profiles which the system sends for you.

10 Important Estimate notifications

Accepted
The most important action a customer can take when looking at a notification is to accept it, and you should know when that happens. Keep this notification active at all times so that you can get started on the project immediately and never drop the ball.


Declined
Get notified when a customer declines an estimate so you can hit the ground running and get back to the drawing board to make the deal happen. Keep this activated at all times so you can intervene quickly and work your way towards approval.


Email bounced
Just like with invoice emails, misspellings and bounces happen, but when it comes to getting estimates approved, they can slow down the deal approval process - especially if you don’t know it’s happening. This notification will alert your right away if the estimate you emailed bounced, and it will tell you exactly why -  so that you can reach out to your customer and update the email on file.

Downloaded

These notifications deal with automated invoices that are sent to customers. After a recurring invoice has been sent, it will still receive all of the Invoice Notifications from above.

Get notified when your automated recurring invoices are sent to your customers. Automation rocks!

6 Invoice reminder notifications


There is a whole set of reminder notifications designed to remind a customer of past-due invoices and payments. You can customize these and set times when they go out. The following notifications apply to any reminders the customer receives from you.


Email sent
This notification is helpful if you're not sure if you've sent an invoice reminder, whether it's because you multitasked or just accidentally left your browser tab. This will send you a notification when you send an invoice reminder.

How are notifications delivered?

You can receive these notifications via:
1. In-software via small bell on your profile.
2. Mobile device (mobile phone, tablet)
3. Web browser (Chrome, Firefox, Opera, Safari)
4. E-mails

How estimate and invoice notifications work in InvoiceQuick:


Once you’re logged in, click on the Bell Icon in the top right and then Preferences to view all notification options.

Once the Notification Center opens, you’ll see all the notifications available. This is where you can select by which method to receive these notifications. Then, simply click Save, and you’re all set.
