Bill per mile, load, or hour with accessorials like detention, layover, fuel surcharge, and permits. Use our Trucking Invoice Template with clear answers.
Price per mile or per load. Spell it out so shippers know the math. Example: “Linehaul: 540 miles @ $2.35/mi = $1,269.00.”
Show free time, then the rate. List each fee with times or dates. Example: “Detention: 3 hrs @ $75/hr = $225. TONU: 1 @ $250.”
State the peg and formula. Update the index weekly. Example: “Fuel Surcharge: 24% of linehaul = $304.56.”
Attach the BOL, POD, and any lumper or scale receipts. Brokers and shippers expect clean paperwork. Example: “Attachments: POD signed 08/12, Lumper Receipt $120.”
List the base linehaul, then each stop-off. Include addresses or stop numbers. Example: “Stop-off Fee: 2 stops @ $50/stop = $100.”
Show both terms so the broker chooses. Note the discount clearly. Example: “Terms: Quick Pay 2% 10 days or Net 30. Discount: $35.18.”
Add reefer accessorials as separate lines. Include trailer number and temp set point. Example: “Reefer Standby: 4 hrs @ $40/hr = $160. Washout: $45.”
List each permit by state and date. Add pilot car and route survey if needed. Example: “Overweight Permit: TX $95. Escort Vehicle: 1 @ $300.” Rules vary—check local rules.
